This policy explains what personal information Hoot Hall LLC collects through this website, why we collect it, and what you can ask us to do with it. We handle personal information in line with Japan's Act on the Protection of Personal Information (APPI) and related rules.

This website is operated by Hoot Hall LLC (Hoot Hall合同会社), which is responsible for the personal information described in this policy.
To ask about this policy, use our contact form or email support@hoothall.com. If you ask, we will tell you our registered address and the name of our representative without delay.
What we collect
- Contact formthe kind of inquiry, your name, your email address, your company (optional), the timeline and budget you choose (optional), your message, the language of the page you used and the time you sent it.
- Abuse preventionwhen you send the form, a one-way hash of your IP address is used briefly to limit how often the form can be sent from the same connection. Neither the IP address nor the hash is stored with your inquiry.
- Bot protectionwhen you use the contact form, Cloudflare Turnstile collects signals from your browser and how it interacts with the page, which Cloudflare processes to tell people from bots.
- AnalyticsCloudflare Web Analytics measures visits without cookies. It reports aggregated figures such as page views and does not build profiles of individual visitors. We use these figures only to improve the site.
- Server logsto deliver the site and keep it secure, Cloudflare processes technical request data such as your IP address, browser type and the page requested, and keeps logs for security purposes.
How we use it
- To reply to your inquiry.
- To evaluate work offers and other proposals you send us.
- To prevent spam, abuse and attacks on the site and the contact form.
We do not use your personal information for any other purpose without your consent, except where the law allows it.
No selling, no advertising
We do not sell personal information, share it for advertising or use it to show you ads. We do not provide it to third parties without your consent, except to the service providers below or where the law requires or allows it.
Service providers and transfers outside Japan
We entrust the handling of personal information to these providers:
- Cloudflare, Inc. (United States)hosting and delivery of this website, the database that stores inquiries, bot protection (Turnstile) and analytics.
- Resend (United States)delivery of the email that notifies our team of a new inquiry.
Both providers are located in the United States. Information about the United States' system for protecting personal information is available from the Personal Information Protection Commission of Japan. Each provider is bound by contractual safeguards that require it to protect the personal information it handles for us.
If you ask, we will tell you more about the measures these providers take to protect personal information.
How long we keep it
We keep each inquiry for 12 months after we receive it and then delete it. This applies both to the copy in our database and to the notification email that each inquiry sends to our support mailbox. Turnstile signals, analytics data and server logs are kept by Cloudflare, and records of the notification emails are kept by Resend, under their own retention periods.
How we protect it
- The site is served only over encrypted HTTPS connections.
- Only the members of our team who handle inquiries can access them.
- Stored data is encrypted at rest by our providers.
- We take into account the personal-information protection system of the United States, where our providers handle the data, when we decide how to protect it.
Your rights
You can ask us to tell you how we use your personal information, to disclose it (including records of any provision to third parties), to correct, add to or delete it, or to stop using it or providing it to others.
Send your request through our contact form or to support@hoothall.com. We will confirm that the request comes from you and reply without undue delay. The same contact handles any question or complaint about how we handle personal information.
Children
If you are under 18, please ask a parent or guardian before you send us personal information.
Our apps and product sites
This policy covers the Hoot Hall company website. Apps and product sites that publish their own privacy policy, including those hosted on hoothall.com, are covered by that policy.
Changes to this policy
We may update this policy when our services or the law change. We will publish the new version on this page with its effective date and point out important changes here.
